How to Create Move-out Inspection Request.

 

  1. First   check if there is already an existing Move Out Inspection Request

WO/FM – Inspection – Review Inspection

 

  1. If there is an existing Inspection request, Do not create a MOI instead send a follow up mail to the concerned Cluster Maintenance Officer and copy the Property Officer

 

 

 

 

 

 

 

  1. Put the Tcode on the Tenant field and click submit to pull up any existing MOI (if any)

 

  1. If there is no pending MOI an Inspection request can be raised.

Click WO/FM – Inspection – Add Inspection

 

  1. On Inspection Entity select Unit on the drop down Menu

Indicate the Bldg Number on Property field

Indicate the Unit Number on Unit field

Then Click Submit

 

 

  1. Check if the Bldg has Tax by clicking Tax Info

 

  1. Click Legal Entity

 

  1. Click Tax Info and check Default Sales Tran Type to determine if there is VAT for the Building.

Ooss – means there is No VAT

VAT #:   N/A

 

  1. SRS – means Bldg is VAT registered

VAT #: VAT Registration number

 

  1.  On Inspection Template choose the coinciding Unit depending on if the Bldg has VAT or Not and the number of rooms / office / Villa etc.

  1.  Set Inspection Type as Move Out  

 Request Date is set by default

 Due Date: count 4 working days from the next working date after the Request Date

 Scheduled date: next working date after the Request Date

 Notes: Indicate notes form the tenant if any and the tenant contact number

 

  1. Check the Vendor by using the MO Tool using the Building and Unit Number

Choose the Top Vendor Name, Top priority is VIP (priority) next SGME/ISNAAD next Live Civil (DO NOT use Expired Civil – instead send a mail to FM Officer and Property Officer)

  1. Assign a Vendor by putting the Vendor code (Vcode) on Vendor field

  1.  Send the Move Out Inspection number to the Cluster Maintenance Officer and Property Officer via E-mail.
